How to FTP and emails large files, photos, and Presentations.

Emailing attachments has several problems associated with it:

1) Large Attachments (over 5 Megabytes) will usually not go through email servers.

2) Many types of files (exe, ppt, pps, zip, and more) will be blacked by outlook, gmail, and other systems because they can contain virus'

3) The recipients may not have access to high speed internet at the time when they are receiving your email. This means that your large file may prevent them from receiving other emails.

For this reason, it is recommended that you follow these steps when sending files:

a) FTP the file to your website

b) Email people the link where they can download the file.

For example, your email would read:

"The presentation can be accessed by clicking here:
http://www.GreenTagExchange.com/doc/Welcome.pdf
and selecting Save to desktop."

Here's how you do this

Download an FTP Client software program. A popular free one is SmartFTP available from
http://www.smartftp.com/

Once you start a FTP program you will need this information:

Protocoll: FTPHost Name: Usually your website name (ex. GreenTagExchange.com)
Path: Your ftp folder. (ex. greentagexchange.com/ftp)
Username and password, supplied by your adminsitrator (ex. me)
Port: 21
Connection Name: Your Choice (ex. Greentag ftp site)

When connected, you will see the a screen that looks something like this:

Simply drag and drop the file from your desktop to the ftp folder in the right-hand pane. Once the file is uploaded correctly, test it by entering the address to the file in your growser, for example:

www.GreenTagExchange.com/ftp/filename.jpg

Your browser will ask what you want to do with the file, usually Save As... or save to desktop. You may also get several warnings from your operating system or virus protection that you are downloading a potentially unsafe program.

Using FTP will save time, trouble, and avoid a number of potential problems.

Please, though, avoid referring to it as FTPeeing. It's embarassing
